Applicant guidance on how to apply for an Enhanced Disclosure Check (Access NI) for New Temporary Employees.

All new temporary employees working in regulated activity must complete an Enhanced Disclosure Check (Access NI) in accordance with ‘DE Circular 2025/02 Pre-Employment / AccessNI check requirements and safer recruitment practices for staff and volunteers working in or providing a service for schools/education settings’

Below you will find information for new temporary employees, employed via temporary engagement on making application for an Access NI Enhanced Disclosure Check. Please note that if you are not a new temporary employee and are going through a recruitment exercise, the relevant recruitment team will provide you with details on how to complete an Enhanced Disclosure Check as part of your pre-employment checks’

If you are due to commence a temporary post with the Education Authority and will be engaged in work that is considered ‘regulated activity’ it is a statutory requirement for you to complete an Enhanced Disclosure Check (Access NI) and submit documentation to prove your Right to Work in UK.

Please follow the guidance below to complete your Enhanced Disclosure Check (Access NI) application and provide evidence of your Right to Work in the UK:

How to Apply

Step 1 - Enhanced Disclosure Check (Access NI) application through NI Direct

Complete an Enhanced Disclosure Check (Access NI) application through NI Direct via the link below.

  • If you do not have an NI Direct account, you will be required to set one up, instructions will appear on screen. Guidance document to create a nidirect account.
  • Once you have successfully created / logged in, you will be taken to the online Access NI application and must complete an Enhanced Disclosure Check. You must ensure that you enter the Education Authority PIN number – 424645 – to complete the application.
  • You will be required to upload 2 relevant identity documents (as per the attached list) to the Access NI application form before submitting. Where possible the following documentation should be provided:
    • Birth Certificate
    • Document that contains both the applicants current name and photograph.

 
Where you are unable to provide one of these documents, a list of acceptable ID’s will be available when you are making your application with NI Direct.

  • Once you have completed the application through NI Direct, you will be provided with a 10-digit reference number. You should retain this reference number as you will need to provide this to the Education Authority at step 2 and step 3 outlined below.

Step 2 - Payment of £32

Make the required payment of £32 via the payment link below – you will need to input the 10-digit Access NI Reference number you received at step 1 when making this payment. (It is essential the correct number is entered to link your payment to the application)

Step 3 - EA Access NI Pin Notification and Right to Work Application Form

Complete the EA Access NI Pin Notification and Right to Work Application Form via the link below.

Step 4 - Provide evidence of your Right to Work in the UK

Proof of Right to Work in the UK documentation is a statutory requirement for all employees. You will be asked when completing the application form at step 3 to outline what documentation you will be providing to prove your Right to Work in the UK.

You will find details outlined below on what can be provided to evidence your Right to Work in the UK and where you have selected 'UK & Irish Nationals' or 'Other' in the Right to Work section of the application form, you must provide copies of the relevant evidence by emailing them to the EA Access NI team at [email protected].

  • UK and Irish Nationals – a Passport or Birth Certificate and an official document showing National Insurance Number. (copies should be emailed to [email protected])
  • EU Settlement Scheme and evisa – Sharecode and proof of date of birth (this information should be provided on the application form at step 3. Where you do not require an Access NI check, details of your ShareCode and Date of Birth should be emailed to [email protected])
  • Other – if you do not have any of the above, please forward applicable documentation to [email protected].

You may be asked to complete an ID validation for the Right to Work document you have provided. If so, a member of the Access NI team will be in touch with you to arrange this.
